Three Departments Ordered Pipe for Three Different Reasons

The purchase request looked normal at first.

Several carbon steel pipe sizes.

A delivery destination.

A requested quotation date.

Nothing suggested that the order would become complicated.

Then the first conference call took place.

That was when everyone realized the project was not really one project.

The maintenance department needed replacement pipe for an existing production line.

The engineering department was preparing a facility expansion.

The utilities team was upgrading support systems in another section of the plant.

All three requirements had been merged into a single inquiry.

The pipe sizes overlapped.

The schedules did not.

One group wanted delivery within two weeks.

Another would not need material for several months.

The third was still waiting for final approval.

At first, everyone assumed the order could move forward together.

The next few meetings proved otherwise.

Questions began appearing that had nothing to do with pipe dimensions.

Should the shipment be divided?

Should certificates be separated by department?

Who would receive the material when it arrived?

The carbon steel pipe specification barely changed during the discussion.

The delivery plan changed repeatedly.

At one point, a revised spreadsheet arrived with different color tabs for each department.

Someone joked that the spreadsheet now had more organization than the project itself.

Nobody argued.

Eventually the order was divided into separate deliveries.

The pipe remained exactly what it had been at the beginning.

What changed was how the project team decided to manage it.

Looking back through the email history, most messages were not about material grades or wall thickness.

They were about coordination.

The steel was easy.

Getting three departments to agree on a schedule was the difficult part.
